Scope of Terms

These Terms and Conditions govern attendance at AJ Fleetcare Academy/AJ Fleetcare courses, workshops, and any related training materials or events delivered by AJ Fleetcare Academy/AJ Fleetcare. By booking, attending, or accessing course materials you accept these Terms and any additional course-specific rules supplied at booking or on arrival.

Booking Payment Fees and Payment Methods

• Booking confirmation. A booking is confirmed only once full payment or a non-refundable deposit if applicable has been received and written confirmation issued.

• Prices and VAT. All course fees shown at booking are payable in GBP and are exclusive of VAT unless stated otherwise. Course prices may vary depending on whether the booking is made within an early bird rate period or other promotional pricing. AJ Fleetcare Academy/AJ Fleetcare reserves the right to correct pricing errors.

• Changes to offers and prices. AJ Fleetcare Academy/AJ Fleetcare may introduce, amend, or withdraw promotional offers, early bird rates, and standard prices at any time without prior notice. Any promotional price applied at the time of booking is subject to the terms of that promotion and availability.

• Payment methods. We will send a secure payment link to the email address provided at booking. Alternatively, you may pay by bank transfer; account details for a bank transfer will be sent within 7 days of the payment link being issued. Failure to pay by the due date may cancel your booking.

• No set-off. You may not set off any amounts you allege AJ Fleetcare Academy/AJ Fleetcare owes you against course fees.

Cancellations Transfers and Refunds

• No refunds. Course fees are non-refundable in all circumstances.

• Transfer for medical emergencies. If you contact AJ Fleetcare Academy/AJ Fleetcare within 14 days before the scheduled course date and supply satisfactory contemporaneous proof of a genuine medical emergency such as a doctor’s note or hospital discharge, we will, at our discretion, allow the course fee to be transferred to another AJ Fleetcare Academy/AJ Fleetcare course date within 12 months. Transfers are subject to availability and any difference in course price must be paid by the attendee.

• Late or no-shows. Failure to attend without prior agreement does not entitle you to any refund or transfer.

• Course cancellation by AJ Fleetcare Academy/AJ Fleetcare. AJ Fleetcare Academy/AJ Fleetcare reserves the right to cancel or reschedule a course due to insufficient bookings, trainer unavailability, venue problems, or other operational reasons. If AJ Fleetcare Academy/AJ Fleetcare cancels a course we will offer a transfer to another course or a refund of the course fee. AJ Fleetcare Academy/AJ Fleetcare is not liable for additional travel, accommodation, or other consequential losses.

Intellectual Property Use of Materials and Certificates

• Ownership. All training materials, presentations, manuals, handouts, digital files, videos, photographs, tests, certificates, logos, course names, and other content supplied by AJ Fleetcare Academy/AJ Fleetcare (together “Materials”) are the exclusive property of AJ Fleetcare Academy/AJ Fleetcare or our licensors and are protected by copyright, database rights, design rights, trademark and other intellectual property laws.

• Prohibition on copying and redistribution. You must not copy, reproduce, publish, broadcast, upload, transmit, share, sell, distribute, adapt, or otherwise exploit any Materials in whole or in part for any purpose without prior written consent from AJ Fleetcare Academy/AJ Fleetcare. This prohibition includes posting Materials on public or private forums, social media, internal networks, or sharing Materials with third parties.

• Permitted personal use. You may make reasonable personal notes during training and retain those notes for your own professional development. You may use the knowledge and skills gained to service and maintain vehicles in your own workshop or to provide services to your employer or clients. You may not use Materials to create competing training courses, commercial products, or publicly available materials.

• Certificates. Where a certificate of completion or assessment is issued, the certificate remains the property of AJ Fleetcare Academy/AJ Fleetcare and must not be altered, copied, or reproduced. Misuse of certificates is prohibited and may lead to disciplinary, legal, or regulatory action.

Conduct Health Safety Recording Photography and Catering

• Conduct. Attendees must act professionally and follow trainer and venue instructions. AJ Fleetcare Academy/AJ Fleetcare may remove any person from a course for unacceptable behaviour without refund.

• Health and safety. You must comply with all health and safety rules at the training venue. Do not attend if you are unwell and contagious. You are responsible for arranging any required personal protective equipment unless otherwise stated.

• Recording and photography. AJ Fleetcare Academy/AJ Fleetcare will take photos and short recordings during training sessions for marketing, training records, and publicity. Magazine journalists or third party media may attend sessions for publicity purposes and may take photos or short recordings. Recording, photographing, livestreaming, or reproducing training sessions or Materials by attendees is prohibited unless AJ Fleetcare Academy/AJ Fleetcare provides explicit written permission in advance. If you do not wish to be photographed or recorded you must notify AJ Fleetcare Academy/AJ Fleetcare in writing before the course date and we will make reasonable efforts to accommodate your request. AJ Fleetcare Academy/AJ Fleetcare may record sessions for internal use and future materials and will advise where recordings include attendees.

• Catering and dietary requirements. If lunch is provided on the day of a training event, AJ Fleetcare Academy/AJ Fleetcare will contact attendees by email before the event with a selection of menu options and a request to confirm any dietary requirements. All dietary requirements must be provided by you and recorded prior to the event; AJ Fleetcare Academy/AJ Fleetcare will adhere to recorded dietary requirements where reasonably practicable. AJ Fleetcare Academy/AJ Fleetcare does not accept responsibility for failure to provide the correct dietary requirements where those requirements were not recorded by you in advance or where third party suppliers are unable to meet a requested specification.

• Liability for damage. You are responsible for any damage caused by you to the venue or equipment and must reimburse AJ Fleetcare Academy/AJ Fleetcare or the venue for repair or replacement costs.

Warranties Liability and Indemnity

• Training purpose. AJ Fleetcare Academy/AJ Fleetcare provides technical and educational training to a competent professional standard. Attendees are responsible for applying training safely and in accordance with industry standards, manufacturer guidance, and statutory requirements.

• No professional guarantees. AJ Fleetcare Academy/AJ Fleetcare does not guarantee specific outcomes or results from attendance. Information provided is for guidance and training purposes only and does not replace manufacturer procedures, statutory obligations, or professional judgement.

• Limitations of liability. To the fullest extent permitted by law AJ Fleetcare Academy/AJ Fleetcare’s total liability to you for any claim arising out of or in connection with a course or these Terms is limited to the fee paid for the relevant course. AJ Fleetcare Academy/AJ Fleetcare is not liable for indirect, special, consequential, or economic losses including lost profits, business interruption, or loss of reputation.

• Indemnity. You agree to indemnify and hold AJ Fleetcare Academy/AJ Fleetcare harmless from and against all losses, liabilities, costs, damages, and expenses including reasonable legal fees arising from your breach of these Terms, negligence, wilful misconduct, or misuse of Materials.

Data Confidentiality Insurance and Professional Responsibility

• Personal data. AJ Fleetcare Academy/AJ Fleetcare will process personal data provided at booking in accordance with applicable data protection laws and our privacy policy. Personal data may be used to administer bookings, carry out training, issue certificates, and communicate course-related information.

• Confidential information. Any confidential information disclosed by AJ Fleetcare Academy/AJ Fleetcare or other attendees during a course must be treated as confidential and not disclosed to third parties. Confidential information does not include information that is or becomes public other than through breach by you, is lawfully received from a third party, or is required to be disclosed by law.

• Insurance. Attendees and their employers are responsible for maintaining appropriate insurance for any work they undertake following training. AJ Fleetcare Academy/AJ Fleetcare does not act as an insurer and training attendance does not affect your individual or employer insurance requirements.

• Professional responsibility. Attendees must ensure that work performed after training complies with manufacturer specifications, legal requirements, and professional standards. AJ Fleetcare Academy/AJ Fleetcare accepts no responsibility for incorrect application of training or decisions made by attendees in their professional practice.

Force Majeure Changes Notices Governing Law and Entire Agreement

• Force majeure. AJ Fleetcare Academy/AJ Fleetcare is not liable for delays, cancellations, or failures caused by events beyond reasonable control including extreme weather, pandemics, strikes, acts of government, or supplier failure.

• Changes to Terms. AJ Fleetcare Academy/AJ Fleetcare may update these Terms from time to time. The version published at the time of your booking will apply to that booking. Continued use of AJ Fleetcare Academy/AJ Fleetcare services after changes indicates acceptance of the updated Terms.

• Notices. Any notice required under these Terms should be sent to the contact details provided at booking or to the registered office address shown on our website.

• Governing law. These Terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction.

• Severability. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will remain in full force and effect.

• Entire agreement. These Terms, the booking confirmation and any course-specific rules constitute the entire agreement between you and AJ Fleetcare Academy/AJ Fleetcare relating to the subject matter and supersede all prior agreements and understandings.
